Online Platform "TrainerCentral" User Guide (for Educator)

Introduction

Zoho TrainerCentral (https://www.trainercentral.com) is an online course platform designed to facilitate live sessions and learner engagement. In this platform, a Trainer is responsible for delivering course content, conducting live sessions, and interacting with learners. While the Host manages the overall platform and oversees webinars, the Trainer focuses on the instructional aspects, ensuring effective knowledge transfer.

Preparation

1. Platform Access: TrainerCentral operates desktop or laptop computers using supported internet browsers. Ensure your browser is up-to-date before the webinar. Supported browsers include:
· Google Chrome (version 72 or higher)
· Mozilla Firefox (version 65 or higher)
· Microsoft Edge (version 79 or higher)

Alert
iOS Safari and any mobile devices are not supported for conducting sessions. 

2. Invitation email: The host has to add you as guest trainer, triggering an invitation email. Retain this email, as it contains the link you'll use to access the platform on the event date.

3. Equipment Check: Ensure you have a functioning webcam and microphone. Test both devices at least two days before the session to confirm they operate correctly.

4. Device Setup: Before joining the webinar, connect your webcam and microphone to your computer.

Join the webinar

1. Session Launch: The Host will launch the platform 15 minutes before the webinar starts. You and the learners can log in at this time.

2. Accessing the Session: Click "Accept Invitation" in the invitation email sent by the Host.

3. Session Page: After accepting the invitation, you'll be directed to the general session webpage.


4. Entering the Session: Click "Enter Session" to access the platform.

If you encounter technical issues, contact the Host immediately via instant messenger.

5. Browser Permissions: Upon entering, your browser may request permission to access your camera and microphone. Click "Allow" to grant access.

6. Device Selection: Select your audio and video devices when prompted, then click "Continue."


7. Connection: Wait for the platform to establish a connection.


8. Audio/Video Check: Once connected, verify that your audio and video are functioning correctly.

9. 
Pre-Broadcast: At this stage, learners cannot see or hear you. Use this time to test your equipment with the Host.

10. Start Broadcast: When ready, the Host will click "Start Broadcast," making you visible and audible to learners.

Before the lesson starts

1. Learner Guide: Learners receive a user guide (https://support.arbor.tools/portal/en/kb/articles/trainercentral-userguide-learner) upon registration. However, the Host will also provide a brief platform overview and introduce you before the lesson begins.

2. Session Control: Initially, the Host controls the session. You won't be able to share your screen until control is transferred.

3. Control Transfer: After the introduction, the Host will transfer session control to you. A green bar will appear at the top of the platform indicating this transfer.

4. Accepting Control: Click "Yes" to accept control.

5. Activating Devices: The system will prompt you to turn on your audio and video. Click "Accept" after activating them.

You may turn off your camera during the lesson if preferred.

6. Accessing Functions: Upon accepting control, additional functions will appear at the bottom of the platform.

7. Screen Sharing: Click "Screen Share" to present your materials. Refer to the "TrainerCentral Live Session Platform Functions" section for details.

During the lesson

As a guest trainer, you can:
- Broadcast your audio and video.
- Present content and use screen sharing.
- Create, edit and launch polls.
- Respond to attendee questions.
- Coummunicate with participants via public and private chat rooms.
- Chat privately with the host.
- Grant learners access to use their microphones and cameras.

After the lesson

1. Session Conclusion: After completing your presentation and Q&A session, transfer session control back to the Host.

2. Transfer Session Control: Click "People" at the top left corner of the platform. You will see the host's name. There is a three-dot next to the host's name. Click the three-dot. Click "Transfer session control". After the host accept the session control, less functions can be used. 



6. Wrap up Lesson: The host will wrap up the lesson. He/ she will press "End" to end the session.

TrainerCentral live session platform functions


1. Main panel
You and the host camera's is shown in this panel. Once you do the screen share, the shared materials will be shown in this panel.

2. People panel
(i) You and the host can see the learners' names, the join time, and the active/ inactive status.

(ii) Click the three-dot to see more options.

"Grant mic access", "Grant mic/ cam access": Give permission to the learners to speak. After this learner accept the permission, there will be a mic icon and the camera icon next to the three-dot icon.

"Revoke mic/ cam access": Cancel the audio and video permission of that learner.

"Chat": You can have the private chat with this learner.

"Remove": Remove this learner from this platform.

3. Question panel
If the learners have any question regarding the teaching content, they should type the questions in this panel. During the break time or the end of the lesson, you have to check this panel and see if there is any questions from the learner.

4. Polls panel
You can create a polls to interact with the learners. Click the following link to learn how to compose, launch, share results with the learners. 

5. Chats panel
Everyone in the platform can type their messages and chat with each other. The host will oversee this chatroom for the whole time. The host will advice the learners to inform the host in this chatroom when there is any technical problem, such as the video freezes, there is no sound from the trainer, etc. 

The host will advice the learners not to ask any questions which is related to the teaching content in the chatroom. As there may be many messages in the chatroom, you may overlook and do not able to answer it.

6. Handouts panel
If the handouts are ready before the event date, the host will send one soft copy to the learner by email as well as put one copy in this panel. If anyone doesn't download the file before the webinar, they can also download the file here.

7. Broadcast message panel
If you would like to broadcast any message, such as the break time duration,  you can type your message and press "Broadcast". "Click "Stop Broadcast" if you stop broadcasting that message.

8. Setting panel
You can set up the audio and the video in this panel.

9. Mic on
You will see your mic is on or off here. If your mic is on, it is written as "mic on" in green. If you mic is mute, it is written as "mic off" in red.

10. Cam on
You will see your camera is on or off here. If your camera is on, it is written as "cam on" in green. If you cam is off, it is written as "cam off" in red.

11. Share material
If the materials (such as video and PowerPoint) is uploaded to the platform before the webinar, you can click this function. However, we do not recommend to share the PowerPoint in this panel. It is difficult to use.

12. Screen share
Once you have the session control, you can share your screen. There a few options. You can share the whole screen, or you can share the PowerPoint only.
If you choose to share the whole screen, the learners will see everything and all the move you do on the desktop. For example, if you open a file with assessment question and answer on your computer, the learners can also see the questions and answer when you open it.
If you choose to share the PowerPoint only, you are not able to screen share any other materials, such as video on YouTube.

13 Record
The webinar is record automatically from it starts. You cannot stop recording. However, we as the host would not share this webinar unless we have your permission.

14. Breakout rooms
A breakout room can be used to split the learners into specific groups for team-building task or learner-specific activities. 

15. Other functions
Other functions can be selected in this panel, such as whiteboard, test, etc. 

16. End
If you press "End", the whole session will be ended. You, the host and the learners cannot be returned to this session. So, DO NOT press this button unless the host tells you to do so.

Warning
If you have any technical problem and you need to reboot your computer or the internet browser, close the internet browser directly and return to this platform by click the "Access session" in the email.
